 Welcome to the 2026 Northern Lights Festival Boréal Vendor Application!

Thank you for your interest in becoming a vendor at the 2026 Northern Lights Festival Boréal (NLFB)! We are thrilled to invite talented artisans, food vendors, unique retail vendors, and dedicated non-profit organizations to join us for this year's festival. As Northern Ontario's longest-running consecutive outdoor music and arts festival, NLFB is committed to celebrating creativity, diversity, and community spirit.

This is an incredible opportunity to showcase your products and connect with thousands of festival-goers who appreciate arts and culture. We aim to provide a vibrant marketplace that offers a wide variety of handcrafted goods, specialty retail items, and meaningful information from our non-profit partners.

To ensure a diverse and high-quality marketplace, we will evaluate applications based on product quality, craftsmanship, and uniqueness. Artisan vendors must have a minimum of 50% of their products handmade. Preference will be given to vendors offering unique and original items, as we aim to maintain a balanced variety by avoiding an over representation of similar products. This allows us to create the best possible experience for both vendors and festival-goers.

Based on vendor feedback, day admission to the festival is by an optional donation. This should significantly drive traffic to the festival.

Please read through the application form carefully and provide all required information. Spaces are limited, so we encourage you to apply early.

  • Friday - 5 pm -12 am
  • Saturday - 11 am -12 am
  • Sunday - 11 am -10 pm
Note: Friday programming takes place on two stages in the evening. Participation is expected from all artisan, retail, and non-profit vendors. Saturday and Sunday programming involve 4+ stages, and all activities are in full swing. Participation is mandatory during operating hours for all vendors until sundown each day.

Have you been a vendor at our festival before?
I acknowledge that I will need a minimum of $2 million in general liability insurance, to which I must add Northern Lights Festival Boreal and the City of Greater Sudbury as additional insured.
Food Vendors
What size lot do you require for your set-up? 

Length is measured bumper to bumper along your customer-facing side.
Width is measured from the driver's door to the passenger's door.

The size you select will be the total space available for your entire setup, including front of house, cooking, back of house, storage, and any other necessary areas. We sell space, so you must register and pay the full amount required. The size you choose will determine your placement on the site map, and no additional space will be available when you arrive.

Examples:

A 10x6 trailer plus a 10x10 pop-up tent set side by side = 20x10 space.

A 17x10 trailer = 20x10 space.

All spaces are approximately 10–12 feet wide. If you have a 20-foot trailer that serves from the back, it will not fit. Standard depth is 10 feet. If your setup is slightly larger, note this in your booth description so we can plan accordingly.

Power & Water Access

Each food vendor space includes only the designated setup area. NLFB provides limited access to power and water, which must be requested and approved in advance.

Food vendors may receive one (1) electrical plug as part of their setup.

Any additional plugs must be requested through this form and will be subject to an additional fee.

Vendors must bring their own extension cords, power bars, tar paper (for deep frying and placing on the ground in your tent), and protective mats to safely cover all cords.

Water hookups are limited and must be approved by NLFB before the event.

Any unapproved or on-site requests for extra plugs or water access will not be accommodated.

Fire Safety Policy Paperwork

Only vendors who cook on site or use equipment with potential fire risks need to complete this section.

The Sudbury Fire Department Prevention Division now requires all related paperwork to be submitted in advance for review and available on site during your setup inspection.

Fire Prevention Officers and City of Greater Sudbury staff will be actively inspecting and enforcing the requirements below, as well as the Ontario Fire Code. These measures are designed to reduce hazards, ensure safe operations, and maintain proper fire safety standards throughout the event.

Please make sure all applicable documentation is current and ready for inspection at setup:

TSSA Inspection Certificate (if applicable)

Fire Hood Extinguishing System – yearly and monthly maintenance records

K-Class Fire Extinguisher – yearly and monthly inspection records

ABC Fire Extinguisher – yearly and monthly inspection records

For vendors who sell edible items only. All items must be for sale for consumption OFF site. The application package needs to be returned to PHSD, with a copy sent to us showing its submission.

IMPORTANT INFO: -Tent canopies to be made of a flame retardant fabric - NO cooking with grease laden vapours under a tent, regardless if flame retardant rated or not - ALL propane tanks to be secured properly, regardless if permanent or of temporary use - No smoking under canopies/tents. Any failure to comply with the conditions outlined in the above written policy will result in the immediate closure of your operations by a City of Sudbury staff or event rep. This closure will either be permanent or until the situation is rectified.  If you should have questions outside the realm of the above written policy, please call Greater Sudbury Fire and Emergency Services; they will be glad to help. Contact Prevention Clerk 1-705-674-4455 extension 3743. Everyone cooking under a tent that has a deep fryer will need to ensure they bring their own tar paper to place on the ground under their tent. This is non-negotiable.

I confirm that I have read, understood, and agree to comply with all policies outlined in the NLFB Vendor General Guidelines, as well as the Vendor Rules & Regulations 2026, available on the Northern Lights Festival Boréal website. I understand that failure to follow any policy — including setup, teardown, safety, or payment requirements — may result in immediate removal from the festival grounds, forfeiture of all fees, and exclusion from future NLFB events.

I further understand that no refunds, substitutions, or on-site exceptions will be granted for any reason once this application has been approved.
